Terms and Conditions

Please read these terms carefully as they are the sole terms & conditions of the contract between you and Experience Tourism Ltd for all bookings. These booking conditions will form part of your contract with Experience Tourism Ltd (Registered office 46 Bayham Road, Bristol BS4 2DR, United Kingdom) for all the arrangements you book with us. Please understand them well. 

You may only use this site for lawful purposes and in accordance with these terms & conditions. The person making the booking and using the Experience Tourism website shall be deemed to have accepted the terms and conditions as set out here, and on behalf of all the persons named in the booking.

ET reserves the right to alter these booking conditions at any time.

 

General Booking Terms

Experience Tourism (ET) is a language-learning, education agency. We teach and promote language courses around the world. We take bookings for courses that we teach, or for courses run by our partners. We refer you to recommended schools and act as a representative agent on their behalf. We deal with customers both in the United Kingdom (U.K.) and abroad but our business is based and registered in the U.K. Therefore anyone using ET does so with the agreement that British Law will apply to any dealings made together. Any dispute, claim or other matter which arises out of or in connection with this contract will be dealt with by the Courts of the United Kingdom.

Note carefully that we will act as an agent under the contract rather than principal, except for our own online classes

 

Supplier’s conditions

You are bound by our suppliers own booking, amendment, cancellation conditions and conditions of carriage where relevant and these conditions apply to your contract with us, ET. Conditions vary by provider and are given at the time of booking. Our provider’s conditions may limit or exclude their and our liability to you.

Information Accuracy

We check facts about the courses offered to ensure accuracy. When we are told in advance of a significant change to a booking, we will make every effort to notify you in advance of the start of your course. Please note all course duration times given are approximate.

 

Flights

ET does not sell flights. Therefore ET is not responsible for any changes, amendments or cancellations to flights. We strongly recommend that you check your onward or return flight details before travelling. ET cannot be held responsible for missed fights, for delays in course commencement due to missed flights.

 

Accommodation

ET does not sell accommodation but our suppliers provide accommodation. If you book accommodation through our supplier then please refer all enquiries, complaints, cancellations to them. 

 

Insurance

ET strongly recommends that you and all members of your party have suitable and sufficient travel insurance to cover your stay. It may be a condition of our suppliers that in order to book with them you must take travel and medical insurance. We refer all our customers to our site page on Insurance https://www.experience-tourism.com/insurance This page gives advice on why insurance is important. There is a recommended Insurance company for British customers. Customers outside the UK should understand what type of insurance their study holiday requires and get cover for the kind of risks they feel are necessary. This will be provided by a reputable insurance company.

Experience Tourism will not be held responsible for the purchase of insurance that customers later find inadequate. Neither ET Ltd, or our providers, can be held responsible for any liability, expenses or losses incurred as a result of being inadequately insured. We strongly recommend that at the time of booking a full and comprehensive travel insurance policy is also purchased. 

Please note that for sports and wellbeing holidays that involve any physical activity, the supplier may insist that you provide them with a copy of an adequate insurance policy to cover the activities involved in the holiday before you partake in any of those activities. Without adequate insurance, the provider reserves the right to cancel your course without compensation or refund.

 

Visas

ET’s role as an education consultant for English language students means it provides an advisory service for the purposes of United Kingdom (UK) student visas. ET can suggest student visas but as a travel referral site cannot advise on visas for either UK or foreign travellers. It is the responsibility of all travellers, regardless of the passport they hold, to check with the appropriate consulates to determine if any visas or additional documentation are required. 

You are responsible for ensuring that you hold the correct documentation for the country that you are visiting and you are liable for any costs incurred as a result of a failure to comply. Please ensure that you are fully aware of all passport and visa requirements and that you allow adequate time to obtain them. 

As visa and health requirements are subject to change without notice, it is recommended that verification prior to travel be made of existing foreign visa and health requirements. Remember, facilities, hygiene and disease risks vary worldwide, you should obtain health advice on your specific needs as early as possible. It is your responsibility to ensure that you have fully complied with all health and immunisation requirements of the countries you are visiting.

Payments

All course payments are to be made to ET. Customers should be aware that bank-transfer charges are not included in marketing materials and all prices are for courses and, where it is specified, for course materials only.

For our services ET has different charges. We require £100 per person for most courses and registration fees payable to the school you study with. However for online courses delivered by ET only a £10 registration fee is required and no agent fees apply here.

Taxes

ET advises travellers to be aware of additional taxes. Some country’s governments, such as Italy, operate a daily tax charge for the duration of your stay in the said country. They may also charge departure taxes that can only be paid locally. ET recommends that clients keep back enough local currency to pay such charges.

Amendments & Cancellations by Customers

ET advises that the cancellation and amendments policy of each of its providers apply here. Customers are bound by the cancellation and amendments policies of the schools, which ET will make available to customers during consultation, or by email. It is the responsibility of customers to read these before booking. Firstly cancellation must be made in writing to both the relevant school, and to ET. In certain cases cancellation charges, if incurred involuntarily, will be covered by insurance taken out at the time of booking. This is strongly recommended.

 

Below is an outline of sample alterations and how ET can assist you.  

Amendments and Alterations by You

  • If you wish to alter an element of your booking prior to final payment we will do our best to make the change for you. This may be subject to an amendment fee which differs from school to school. Please check amendment fees for your provider with ET and before booking. 

  • You must also pay any costs and charges incurred or imposed by any of our schools in making the change requested. For example, switching courses dates to a peak period. If, however, you are making an amendment switching where the cost is less, a refund will only be made according to the supplier’s terms and conditions. 

  • Any such refunds due as a result of amendment will be processed via the original method of payment, except for cash transactions where refunds will be provided by cheque. 

  • Prices applying to all new bookings made following an amendment will be those prices applicable on the day the new booking is made.

  • Please note that where part payment or full payment has been made the supplier may not allow the amendment that you have requested due to being fully booked. This may result in cancellation conditions. 

 

  • Accuracy of name: It is your responsibility to check that the names and titles shown on your itinerary and booking confirmation match exactly with names and titles as they appear in the passports of the people travelling. If you have travelled on a student visa some suppliers, by law, will need to see your original passport and take photocopies for their records. 

  • In the event that you or any member of the party needs to cancel we must be notified immediately in writing. Where the cancellation charge is shown as a percentage, this is calculated on the total cost of the course only excluding deposits (for some suppliers) and amendment charges as these are non refundable. Please note that where a part cancellation is made, it may increase the costs of the study holiday for those people who still wish to travel.

  • If you cannot take your study holiday because of the death or serious illness of any of the people who are confirmed to travel or their immediate family or by the redundancy or Jury service of a person confirmed to travel, you must make ET aware ASAP. We will inform the supplier whose terms and conditions we will follow in such an event. Some suppliers may allow your booking to be passed to another person as long as all extra costs are met by both customer parties and you agree to both ET’s and supplier’s terms & conditions

  • Please check your booking details carefully to ensure that any related flight, accommodation and/or other arrangements coincide with the dates you have booked with us and all names have the correct spelling as we will not be liable for any costs incurred as a result of any mistakes by you.

  • To make an amendment to your booking, please email info@experience-tourism.com and we will be happy to help. Please note that ET agent fees of £100 / £111 Euro / 125 USD / 183 AUD per booking (not including our own online courses) will be applied in addition to any amendment fees.

 

Amendments and Cancellations by ET and Suppliers

We will do all we can to tell you of any significant changes to your course arrangements. If you do not wish to accept the change, if we can, we will offer you an alternative course of equivalent or superior quality, or a less expensive course. Alternatively, you can choose another course and pay or receive any price difference or cancel altogether.

The partner schools of ET reserve the right to cancel, change or substitute any service and to decline to accept or retain any course members at any time for any reason including, without limitation, an insufficient number of participants.

Cancellation or no show by you 

Charges are levied to cover the costs of any losses incurred as a result of your cancellation or no show which applies to a situation where you chose not to take your course but omit to advise us of the fact in advance of the commencement day of your course. ET acts as an agent rather than the principal, therefore cancellation charges vary from supplier to supplier. The cancellation policy and charges will be highlighted in the terms against each product prior to booking and these charges will also be displayed clearly on your confirmation document and in no circumstances will any refunds be available. By agreeing to these terms and conditions, you agree to pay all charges associated with cancellation or a no show, which in the case of a no show is 100% of the total booking value, regardless of the supplier or the deposit value paid.

Should you need to cancel your booking, please advise us as soon as possible by emailing the school or ET.

Code of conduct

Please note you are responsible for you and your party’s actions. If we or our schools believe your actions or those of your party could cause danger, upset or annoyance to other customers, guests or staff, we or our providers may end your course immediately. In this event we, nor our suppliers will pay compensation, make refunds nor pay any expenses you suffer as a result. This applies to your conduct on all online courses too.

Failure of exams

ET cannot be held responsible for students that take courses and fail official exams. All academic care is taken by our schools and educators to ensure students are a) entered into exams of their level as that they pass, b) given individual, academic feedback to make improvements to reach the required level and c) regular assessed to diagnose current level and linguistic areas to work on. Ultimately, it is the student’s decision to listen to the teacher’s advice and to conduct his/her study in a professional manner. ET canot be held responsible for failed exams, missed lessons and unprofessional attitude.

Health and safety

ET works with schools that take Health and Safety seriously. They may require health details for a given course/activity. The health and safety standards that apply to the services provided under this contract should meet the local standards applicable to the booked destinations, and ET monitors wherever possible that local standards have been met. However, note such standards vary widely across the programme and may not match those prevalent in the UK, Australia or USA. 

Travellers should also consult with their doctors about guidelines for recommended immunisation and where routine childhood immunisations have not been given to understand its health impact. ET’s liability to you

ET act only as a representative agent for the relevant schools of any language course and we have no liability of any kind to you or your party or dependants for any death, personal injury, loss, consequential loss or damage of any kind you or your party or your dependants may suffer caused by your own negligence. 

However, if any part of your study arrangements is not as described or does not reach a reasonable standard, or if you suffer personal injury, illness or death as a result of any improper performance by our providers of the obligations they owe you under your contract, we will advise you seek compensation having regard to all relevant factors such as the cost of your study, any steps it was reasonable for you to take to minimise the inconvenience suffered and the extent to which the deficiency or improper performance affected the quality of your course.

As a guide, there are qualifications on acceptance of liability for compensation.

  • (1) Liability cannot be accepted if advice was given at the time of booking or prior to, of a change to the brochure description.

  • (2) Liability is subject to provisions on “force majeure” and other provisions laid out in these booking conditions, specifically the section on brochure accuracy.

  • (3) Liability cannot be accepted if a deficiency, personal injury, illness or death does not result from any fault on our part or on the part of our providers’ but is caused by your own acts and/or omissions, by the acts and/or omissions of a third party or by circumstances which neither ET nor our suppliers could have anticipated or avoided even exercising all due care.

(4) Our liability is limited in accordance with international conventions and by the contractual terms of the companies that provide the course for your study abroad programme.

ET is acting either as agent for the relevant school or as agent for you and your party.

 

Force Majeure

We cannot accept liability or pay compensation where “major” changes, cancellation or failure to perform any part of the contract is as a result of “force majeure”. This refers to any circumstances that are beyond our or our providers’ control and which we could not, even with all due care, foresee or avoid. Such events include, war, threat of war, terrorist activity, threat of terrorist activity, riot, civil disobedience or strife, natural or industrial disaster, fire, adverse weather conditions, flooding, pandemic and all similar events outside of our control. Advice from the Foreign and Commonwealth Office not to enter or remain in a particular country or region will generally be regarded as “force majeure”.

Pre-Travel Advice

You are advised to check travel advice to your destination before departure. You can visit your government website for the latest travel advice.

 

Complaints Procedure

Any complaints, whilst on your course, must be directed to the relevant school Department Head immediately. This is so that the school can investigate and take action to remedy the problem before the end of the course. If they cannot resolve the problem, you can contact the regulators (accrediting bodies) and put in a formal complaint/report. It would also help to make ET aware of the problem by emailing us. However, ET will not hold ourselves responsible for the non-performance of an itinerary through causes beyond our control or when we’re not notified of a problem at the point when remedial action can be taken. In the unlikely event that a complaint cannot be resolved at the time, you should write to us within 28 days of returning home, giving your original booking reference number and all other relevant information. If you fail to take any of these steps this will hinder our ability to put any problem right and/or investigate it fully and any right you may have to receive compensation will be reduced or completely invalidated.

 

Missed lessons and Holidays

Different schools will have their own guidelines regarding missed lessons and taking holidays. However it is generally understood that notice of absence should be given. In the case of ET’s online classes, 24 hours will secure a lesson that you can’t attend for another time. Failure to give 24 hours ntoice will result in a missed lesson that cannot be taken again. 

 

Prices and price changes

Prices listed on ET’s website are per person unless otherwise stated. Prices are based on the local tariffs at the time of quoting. We reserve the right to change or amend prices at any time before you have booked. After you have booked, the price of your booking is guaranteed and we will not apply any surcharges or price changes unless you make the change to your arrangements after booking.

 

DATA PROTECTION STATEMENT

We aim to protect the personal booking information held by us and passed on to the relevant suppliers of your travel arrangements. These may include public authorities such as customs and immigration along with security or credit card services. If you travel outside the European Economic Area (EEA), controls on data protection may not be as strong as those within the EEA. Unless required to do so by law, we will only pass on your information to persons responsible for your travel arrangements, which may include sensitive information such as details of disabilities, dietary or religious requirements. When making a booking you are consenting to relevant information being passed on as above.

 

Please note that airlines are required by laws introduced in the United States and other countries to give border control agencies access to passenger data. Accordingly any information that the airline holds about you and your travel arrangements may be disclosed to the customs and immigration authorities of any country on your itinerary. Please contact your travel consultant if you require 

Marketing and Publicity Accuracy

The information in our brochures is based on our own visits and on information supplied to us by our schools, accommodation and course suppliers and has been checked to ensure that it is accurate at the time of going to print. However because we do not own or control the above operators, changes can and do occur from time to time and may be made without any advance notification from our suppliers. Where we have been notified of a change we will advise you before we accept your booking or if after as soon as possible before departure. The availability of some facilities and amenities including social activities, gym, pool, watersports, clubs etc. may be affected by local conditions, such as inclement weather, public holidays or low occupancy.
